Digital Maintenance for Real Estate and Hotels with connectavo

Efficient maintenance preserves the value of buildings, minimizes maintenance costs and ensures a functioning infrastructure.

Another important aspect is the safety of guests, residents and staff. It goes without saying that all related jobs are best done with specialist software. With connectavo, mechanical engineering company WAFIOS in Reutlingen is offering a software solution for comprehensive maintenance jobs.

Maintenance has been a very important issue in industry for many years now. Production facilities are cost-intensive, so high availability and long running times pay for themselves. This is why WAFIOS AG from Reutlingen purchased the "connectavo – The Digital Assistant" maintenance platform from the startup of the same name in 2019 and set about developing it further. "Our main focus was on offering our machine customers a comprehensive maintenance solution. Besides, we have the same requirements ourselves when it comes to our own machinery," explains Dennis Griesinger, Head of Digital Services at WAFIOS. "It quickly became obvious to us that the maintenance jobs needed on production machines are not fundamentally any different to those in buildings. Plus, every industrial company is basically its own property manager. As machine manufacturers, we have to deal with heaters, elevators or the water supply system on a daily basis. So to us, it just makes sense to offer connectavo as a universal maintenance solution to other sectors such as real estate and hotels too."

Without exception, every asset can be represented in connectavo with specific maintenance requirements – both scheduled and unscheduled events. The software simply needs to be populated with the relevant assets. For the real estate and hotel sector, that would be assets requiring regular testing such as elevators, fire extinguishers, fire protection equipment and other protective devices. Complex systems like heating and air conditioning systems, the water supply system and similar would also need to be covered. Plus hotels would have a kitchen and, most likely, a swimming pool and wellness area. The software also shows administration tasks. These may include insurance and supply contracts, assignments to certain employees, tracking of ongoing actions and their particular priorities. Last but not least the software contains a cost management function, which ensures that expenditure is transparent.

Fully independent thanks to the mobile app

The software shows real estate and all assets as a tree structure. Documents, maintenance plans, images, etc., can be saved for every item. Users can individualize assets and assign them to specific responsible employees. There is also an option to conduct various analyses, e.g., to compare individual assets in terms of their downtimes and costs. All the actions that have been taken can be saved in histories.

connectavo is a cloud-based solution. The servers are located in a state-of-the-art data center inside Germany with appropriate security provisions. Users log in to the system via a browser or a smartphone app (Android, iOS). This means users can log in from wherever they happen to be. The system sends individual reports as required so the responsible people are always kept up to date. Conversely, processes can be initiated from outside too, such as requests to purchase consumables.

Individual adaptations

"If large volumes of data are involved, we support customers during the onboarding process," explains Griesinger. "But the software has been structured in such a way that users can basically maintain their own data. They can grant permissions and rename categories, for example – in short, they can customize the system to meet their needs."

Since connectavo was acquired by WAFIOS, the development team has been housed at the company's head office in Reutlingen. There is a large workforce available here, who can always keep the software up to date or can look into customer wishes in detail. "New customers will be investing in a futureproof solution for their maintenance work," says Dennis Griesinger. "We would be happy to present the system online to anyone who is interested. And after that, we can give them access on a trial basis too."
